Converting Pre-Existing Custom Fields in the Details tab to Medical Notes

Only clinics that used the Details tab and custom fields together prior to 2020’s Patient Flow launch should need to convert fields. Even if your clinic does not use Patient Flow, you should move your medical-related custom fields from Details to the Treatment sheet tab.

Go to Settings > Custom Fields and notice fields that have a — next to the field name:

Adding custom fields

These are ones that are not a “Short Tag” and only currently exist on the “Details” tab in checkout. You should go ahead and convert all Custom Fields to Short Tags so you can have the tag visible in all the places & get it to populate in the Client Communication box for it to drop into your take-home paperwork.

To convert them, click the Edit button. In this example, I will convert “ Vomited Foreign Material” into a short tag. Click Edit, and in the Group dropdown, select which pre-existing group to associate it with.

Grouping your medical notes

This is a GI issue, so I have selected that here and clicked Save at the bottom.

Describing your medical note

And VIOLA! just like that, it’s not a short tag. The pre-existing text you had entered in, highlighted in blue above, is now the “blurb” in Settings > Medical Notes.

Editing your medical note client communication

If you decide you don’t like the blurb you had set up or want to edit it, click the icon with three little lines to edit it.

“Vomited Foreign Material” is now here as a short tag in Patient Flow and Checkout Medical Notes (Short Tag) pop-up.

Viewing your medical note groups

Can we create our own Groups? Yep!
Go to Settings > Custom Fields > Custom Field Groups. You can Create New Group, reorganize the groups, or delete the ones we have. We do NOT recommend this.
