Documenting Other Vaccines
If your clinic would like to record the lot and expiration date for non- rabies vaccines such as distemper, Bordetella, or Lepto here are some options.
Paper light options:
1. For a clinic that still uses paper records, add the vial sticker to the animal’s medical travel sheet or cage card. These are then saved and filed away.
Paperless options:
2. Record by hand the lot and expiration date in the field Internal Medical Notes. (Remember to click “Save” anytime you freely type notes.)
3. Create custom fields that show on the medical note short tags. These fields will be text boxes that the lot and expiration date can be typed into. The benefit of this option is that the data can be queried in a custom report.
Creating Custom Fields for Other Vaccine Lot & Expiration Details
Start by creating a new medical group.
1. Go to Settings > Custom Field Groups > +Create New Group
2. The new group Name is “Vaccines.”
3. Tick the box for Is Medical.
4. Save.
Once the new medical group is created then create fields.
1. Go to Settings > Custom Fields > Create New Field
2. You will create a feel for each vaccine type. Use the screenshots below for how to set up the field.
Name = Specific Vaccine Type + “Lot/Exp”
Group = Vaccines
Control Type = Textbox
Input Mask = (leave empty)
Description = same as name
Tickboxes – nothing should be selected.
Appointment Type = All
Template Hint = Vaccine type (do not use any numbers, spaces, or special characters.)
Display Order = Where this field sits in the group.
Status = Active.
3. Save.
Other Vaccine Due Dates
Use line items will include information on the vaccine’s effectiveness duration.
In Clinic HQ, we do not have a specific due date for the other vaccines, unlike the rabies vaccine. Instead, we use service items to indicate the duration of the vaccine and when it might need to be administered again. You can use a line item to specify the duration of the vaccine, which will include the vaccine’s name and how long it is effective/when the animal needs to be vaccinated again.
These line items usually look like this:
FVRCP vaccine booster 3 to 4 weeks, FVRCP vaccine 1 year, FVRCP vaccine 3 year
DAPPV booster 3 to 4 weeks, DAPPV 1 year, DAPPV 3 year
