Clinic HQ breaks down appointment types into three types Spay/Neuter, Recheck for Spay/Neuter, and Wellness. These three options will be used throughout Settings.
The Wellness appointment is the umbrella category that includes sub-appointment types. For instance, some examples of custom sub Wellness are: Vaccine Clinic, Dental, Wellness Exam, Surgery (non s/n), Pet Food Pantry Pickup. These are created in Settings > Wellness Settings.

Wellness Appointment Confirmations & Reminders
When configuring your settings, you will not be able to assign an email/text to go to a specific sub-wellness appointment type. You can only set the appointment type to be the general “Wellness.”
This means you will need complete instructions for any wellness appointment type in the one email confirmation and/or reminder.
For example, use wording like “If your pet is scheduled for a Vaccine or Wellness Exam, here are your instructions…” or “If your pet is scheduled for a Dental, here are your instructions…” Both instructions would be presented in one email reminder.
Wellness Templates
You can only have one Wellness E-Consnet form and one Wellness Take-Home. This is not ideal but it’s a workaround that will work!
Anesthetic Wellness Consent Considerations
Your clinic will need one consent form that covers all wellness scenarios.
Use the HQ-recommended templates. Edit them to include waiver terms that cover risks associated with vaccines and anesthetic complications.
If your clinic performs anesthetic wellness procedures, use the language from the spay/neuter consent form to discuss anesthesia risks in the Wellness Consent.
Here’s how:
1) Edit the spay/neuter consent form removing terms about sterilization procedures. Change the template title to Wellness Consent Form
2) Use the Vaccine Clinic Consent and copy/paste terms from the spay/neuter consent into the Vaccine template. Edit the terms removing any terms about sterilization procedures. Change the template title to Wellness Consent Form.
Aftercare Instructions for Treatments or Anesthetic Procedures
There are two options with your aftercare templates:
1) Use one generic template and have aftercare populate based on the line items and Item Triggered Notes.
2) Create a custom template with full page aftercare instructions for each appointment type. Upload to HQ and manually select the appropriate template to print for the appointment.
You can simplify your templates with one Wellness Visit Summary but maximize the efforts of your merge fields on that template. Your custom template must contain the Client Communication merge field.
Use Clinic HQ’s recommended vaccine clinic summary. Edit the template’s second page for aftercare instructions and change the title to Wellness Visit Summary.
Use Item Triggered Notes for service-specific aftercare instructions.
The merge field for Client Communication will produce pre-written notes from Medical Notes.
In Settings > Medical Notes create Item Triggered Notes that will provide aftercare instructions for other services performed during the wellness visit.
For example, if the animal received a dental cleaning, use the dental cleaning line item to provide a note about the effects of sedation and provide a small dinner instead of a full meal.
This pre-written message will only appear on the visit summary if the animal has a dental on their services.
Upload Custom Templates for Service Specific Aftercare
Edit an existing visit summary template and change the second page instructions to be service specific. Such as if the animal received a non-spay/neuter surgery such as mass removal or amputation. Create a custom template that is printed or emailed by hand with the full page aftercare instructions.
