Skip the Lines, Save the Time: Pre-Sign Up for a Smoother, Safer Vaccine Visit
The single best thing that you can do is make appointments for your vaccine clinic. The idea is that you space out the appointments throughout the day, so not everyone shows up at the same time and forms long, stressful lines. We have all the tools in HQ ready to help you do this. It’s safer and faster to have people pre-sign up and pre-fill out the paperwork before they get there.

Here are the suggestions we drew from our results:
Strategy One: Decouple Medicine Only
Use HQ’s online scheduler to allow clients to drop by the clinic to pick up “medicine only,” such as flea & tick and heartworm preventative.
The HQ scheduler will alert you when you have an order in the form of an E-App request. Medication can be prepped and held at the front desk. Clients pay for it online or in person, and it goes into the patient’s medical record.
Strategy Two: Minimize Services
During the actual clinic only offer core vaccines, dewormers, and preventatives. Microchips may be a viable option as well, but they can be somewhat difficult to administer.
Strategy Three: “Fire Station Drive Through”
Moving to a double bay fire station provides the BEST environment for a vaccine clinic. This created an average of a five-minute wait time.
The firemen manage the parking lot, freeing the medical staff to do their thing. The infrastructure is perfect for a shot clinic.
Strategy Four: Pre-Register & Pre-Pay
Use HQ’s scheduler to pre-register animals. Benefits include:
- Reduced wait times
- Risk mitigation
- Appointment spacing
- Inventory preparation
The evening before, paperwork is printed (including rabies certificates), and preventatives are bagged and stapled to the paperwork. When cars roll up, just grab the paperwork and go.
Other Considerations
- If Clients did not pre-register, you allow “drive-ups,” you want to generate rabies certificates, and/or you did not take payment online, you will need a mobile office.
- Make online AND internal signup available by adding the link to your website and also allowing clients to call your clinic to set it up.
- If you want to do a clinic for a low-income neighborhood, go house to house with a tablet for pre-registration.
