This is where you can write notes that will show up in the external client communication box. Adding any of these items/indicating these things about an animal will automatically add in the note you write here.
There are different groups here like item triggered, prescription triggered, declined surgery notes, and many more. Under each category, you can add in the items/diagnoses/indications that will trigger this note to appear in the external client communication field.
What’s Included Automatically when Patient Flow is Turned On
There are many medical notes we’ve automatically included. This is to save you the work of having to set up hundreds of medical notes. What is included is listed here.
In the example above, you can see that if you indicate that an animal has “Already Been Sterilized,” then the note “The patient was declined for surgery as there was an indicator such as a tattoo or scar present that indicated your pet had already been sterilized” will show up on the client communication box.
You can add new items to a note by clicking *Add Item*and changing the note text by clicking the three stacked lines.
Item Triggered Notes – a note will be added to client communication if the service/product/vaccine is added as a line item to the services of an animal’s appointment. The items from this list are the active items from your Settings> Services & Products.
Declined Surgery Triggered Notes – The declined surgery reasons on this list are not customizable. A new declined reason cannot be created. You can only customize the client communication associated with the reason.
Prescription Triggered Notes – Product items become part of this list if they have been set up as an RX in Prescription Labels.
Drugs/Medicine Given Triggered Notes – This list of items is derived from the Drug Log Setup. The Client Communication note will be applied when the drug is used for an animal on Patient Flow.
All other subsequent triggered note categories are the Groups created in Custom Field Groups.
Arranging the order of Medical Notes
Note that only the Medical Note GROUPS can be arranged and not the triggered notes from the other categories listed above. You will have to edit the arrangement of Groups and the fields within from Settings> Custom Fields.
First, arrange your Group display by using the up and down arrows in the tab Custom Field Groups.
Once you have this group order determined, you may choose to rearrange the order of the individual fields within the group. Here is the view from the team’s perspective when applying notes to an animal’s visit. We see that Ear Mites are listed first.
Your Medical Note buttons will display in the same order seen here. Rearrange this order by editing the Custom Field.
If you wanted the Ear Mites button to be last on the display, you must edit the Custom Field> Display Order. Go to Custom Fields and Edit the field you wish to move. In this example of Ear Mites, it has a lower number, so it will appear first. If I wanted to move it down the list, I would change this display order to a higher number, such as 4.
