Features Of The Volume Client Portal (“VCP”)

Entering Animal Data

Once you provide access to your volume client, they will be able to enter data in an easy-to-understand interface. To do so, they click the Edit button.

Once this button is clicked, the “Animal Info” screen will open for data entry. Once this data is filled in, the volume client selects Services or Packages for this animal.

Signing Consent Forms

After data and services are entered for every animal, the volume client then has the option to sign all consents at once or send individual consents to an owner(if an owner was listed.)

Accessing Paperwork

Paperwork can be located from either the “Search Animals” Section or on the Appointment page by clicking the three dots action menu.
The paperwork available to download/print in the Portal is determined by your clinic in Settings > VCP Settings (HERE)

Viewing and Paying Invoices

Volume clients can view their invoices and pay for them via portal pay if your clinic uses our card processing partner MP Group.

If the VC saves their card and has multiple users on their portal, it would be wise that they set user roles to limit who can pay invoices.

User Management

After the Portal invite is accepted, Volume clients control their own users.
Each volume client can add or delete users as necessary. They can even set up “Roles” for users which lets certain users do certain things. To set up a new user, go to the person icon (upper right). It is recommended to have two admin users for a volume client portal.

Uploading Animal Documents

You have the ability to upload documents for each animal from the volume client portal. This is helpful if your volume clients would like to upload proof of prior vaccines, bloodwork, or any other document for a specific animal.

From the VCP there is a “Files” section here:

If a file is uploaded, you will see a “VCPD” tag indicator here in checkout.

And here in Patient Flow. You can view the document from Flow by clicking the + and scrolling to the “Documents” section.

Also, from e-Lobby, you can click the + sign to view the document. We’ll work on putting a “VCPD” tag in e-Lobby so you know there’s a VCPD to view.

Chat

Volume Clients can create messages through the Chat feature in the VCP by going to the Chat icon on the toolbar

Once the VC chooses a clinic, they type the message in the message box and send it to the clinic.

Manage users roles in the VCP for who should send/receive chats.
VC users can also receive email recaps of the messages sent to their Portal, by enabling this in the user role permissions: “Chat Receive Email Recaps.”
