Canceling an Appointment with a Deposit
You cannot cancel an appointment with money/deposit attached. The money must be repurposed or refunded first. Here’s how:
- Start at Client Management > Manage Deposits page. We recommend pinning this screen your navigation panel so it’s up top and easily accessible.
- You can sort the deposits by any of the table headers that are blue. You do this by clicking on the header. For example, sort by owners A-Z. You can also navigate to to other entries by clicking on the page numbers at the bottom of the table.
- Find the deposit, and click the Action button.
- Here you have the ability to do the following:
- Repurpose the Payment. This means you can transfer the deposit to a client credit or you can transfer it as a donation to your clinic.
- Refund the deposit.
- Delete or void the payment. This is not an option for processed e-payments or POS tender types. This option is rare and you should not use it often.
- From the Deposit Management screen, choose the option that suits you.

If an e-appointment submitted a deposit, and you cancel from the e-appointments screen, HQ will auto refund the deposit back to the card used to make the appointment. The client will receive an email letting them know the appointment was canceled and that they were refunded back to the same payment method.
