Multi-Clinic Subscription Costs

Billing is kept totally separate.
The cost for multi-clinic is the same cost for each clinic. For example, if you have two clinics, each would be charged a separate subscription fee. When the new clinic profile is created, you will receive the first month free.

Creating Another Profile

To set up another clinic, please open a help ticket and let HQ know the following:

1) The name of the new clinic profile.
2) The name and email of the person who will be responsible for setting up the new profile and completing the onboarding training.
3) Should we copy the Settings from your current profile? If yes, which of the following should we copy?

  7. Clinic Species
  8. Clinic Colors

Canceling a Profile Under Your Organization

If your clinic cancels a profile subscription in your multi-clinic setup – that data is no longer available. If you need access to the records, you should not cancel the subscription and instead switch the plan to Data Access Only.

If Canceled:
If your clinic has a multi-clinic setup and cancels the subscription for one of the profiles- that profile becomes suspended.
This means you cannot access the clinic or the records from animals that were seen at that profile location.
If an HQ user attempts to access records from that clinic profile the user will become “stuck.”

The MOST IMPORTANT thing to remember is DO NOT access records from a canceled/closed clinic profile.
When trying to view or edit an appointment the clinic profile is displayed. Do not edit the appointment if it displays the closed clinic profile.

User is stuck in a suspended profile

The only way to fix this is for another admin of the clinic to delete that user and set them up again in the active clinic settings.

Admin Instructions:
1) From the active clinic profile, go to Settings> Users
2) Edit the user profile that is stuck. Change the status of the user from Active to Deleted and SAVE.
3) Recreate the user again by clicking ‘+Create User.’ The same email address can be used.
4) The team member will receive an email from Clinic HQ to set a password for logging in.
