If your clinic has multiple locations, HQ has made it so that your client’s information will exist across all locations. This section goes over using your different clinics.

Switching Between Clinics

Multi-clinic scheduling allows you to manage multiple clinics or separate the scheduling of a busy wellness clinic from others, even if you only have one location. All clinics share a back-end database, meaning patient information is accessible across any of your clinics. You can toggle between clinic schedules via the Profile drop-down. While most features like calendars, accounting, and settings are kept separate for each clinic, the Master Report combines stats from all clinics. Each clinic operates as its own entity within the system.

Even if you have two or three clinics, they share a back-end database. That means if a patient has been seen at one clinic, and they come into one of your other clinics, all the information for that patient will be available at any of your clinics.

You access the schedules for each of the clinics via the Profile drop-down and toggle back and forth between the clinics.

Calendars, Accounting, Settings, and most all Reports are separate for each clinic. Each profile operates as its own entity.
Reports are generally kept separate, except the Master Report – that one has stats for both clinics and sums them up.

One Link

One Link is a feature designed for multi-clinic setups. For example, if you have one unit that works on the west side and one on the east side, One Link provides a way for a client to go online and click “one link” to make an appt. It will suggest to them the soonest appointments regardless of location. If you run a mobile outfit and you have more than one unit, this is the tool for you.

Here is how to set up One Link:

  1. Create the Appointment Groups’
  2. Go to Settings > OneLink E-Appointments (bottom of the left-hand panel)
  3. Click the +Add New Region button to get started setting up the types of grouped appointments for your clinics. Label your region.
  4. Next, you’ll want to add appointment types for that region. Click +Add New Type. Here we have set up a group for Vaccines. Other grouped appointment types may be Spay/Neuter or Dentals.

  1. Once you set up the group type, you can add the clinics and appointment types that will be included in this link. Then, click Save.
  2. To post your master link on your website, click Select the value under your URL. Copy and paste this to your site, or turn the link into a button.
