Need to invoice a third party to cover the bill? HQ’s Subsidies tool makes diverting payment to a third party simple.
When to Use Invoiced Subsidies
A subsidy is used to discount services for the client and can divert payment to another entity. The associated funding partnership must be an Invoiced partnership. Learn how to set up the funding partnership HERE.
Vouchers
A common use of invoiced subsidies are voucher programs. Invoiced subsidies can be used to track what services were discounted for clients and how much the voucher provider should be billed. If your vouchers are prepaid by an organization, you may instead use a subsidy that draws down from a pot of funds. Check that out HERE.
Public Pets, but Volume Client Pays
If a public client is paid for by a volume partner, you will use an invoiced subsidy to bill the volume client.
Create a Subsidy
The first step is to create the Funding Partnership your subsidy will be associated with, as covered above. Next, you will create the subsidy. The Client Discount is how much the person in front of you is discounted, whereas the Invoiced Amount is how much you will bill the organization. Learn how to configure subsidy settings HERE.
Apply the “Discount” aka Subsidy
When a discount is applied a subsidy is selected and used to change prices and who owes what. Click the green Discount button next to your item in Checkout > Appointment > Services. A popup will appear that lists all your active subsidies. Find the subsidy you are wanting to use and click Apply.
Here’s what an applied subsidy will look like:
Notice the Client Discount, this is how much the person in front of you will have deducted from their bill. You’ll notice on the Financial tab of the appointment Checkout that the subsidized amount is listed in the Discount column. Next, you’ll generate the invoice.
Generate the Invoice
The last step of invoiced subsidies is to bill the volume client. Once a client with an invoiced subsidy is checked out, they can be billed. Be sure to verify all the charges on the bill as fixing mistakes can be a bit of a hassle. To bill the volume client, go to Accounting > Volume Clients > Bill. Tick the box for the charges you want to bill and click Generate Invoices.
Note: Only one discount/subsidy can be applied per line item. If your clinic needs to apply more than one subsidy to a single item, read more about that setup HERE.
